Career Opportunites: Part-time Office Manager

SUMMARY OF POSTION

Reporting to the Executive Director, the Office Manager will create, maintain and trouble shoot administrative systems to support the administration and development services of Amirah.

 

SPECIFIC RESPONSIBILITIES

  • Maintain organizational systems for the physical office space

  • Provide basic administrative support for Executive Director

  • Distribute messages from Amirah’s phone line and information email following up appropriately

  • Continue to maintain office supplies (either by finding donations or acquiring purchases)

  • Process financial stewardship:

    • Record donations and expenses into QuickBooks 

    • Input data into donor management software system

    • Electronic file management

    • Expense report oversight

    • Process mail, deposit donations, pay bills 

    • Process online one-time and monthly donations

  • Coordinate with volunteer Gratitude Team for Quarterly Thank You Notes to New Life Monthly Donors

  • Work with Board Treasurer each month to reconcile books

  • File annual report with the Attorney General’s office NPO/Public Charities Division

  • Support events at Amirah by developing and compiling materials and working with volunteer Event Planning Team so that donations are processed effectively at all events

  • Track in-kind donations

  • Collect mail and drop off appropriate mail and packages to individuals within Amirah

  • Manage and create all forms for weblink/online donor processing system

  • Run reports as needed regarding donations and financials for grants purposes, board meetings, annual reports, etc.

  • Run payroll

 

QUALIFICATIONS

  • Follower of Christ and committed to His church

  • Excellent administrative and organizational skills

  • Ability to multi-task and work in a high intensity environment while maintaining detailed accounts of work

  • Initiative to learn and grow in role, to maximize time efficiently

  • Strong computer and software skills

  • Driver’s license and vehicle

  • QuickBooks or accounting experience preferred

TIME COMMITMENT

30 hours a week
